Senior Administrative Assistant

Position Summary
The Leapfrog Group is an influential national nonprofit aiming to dramatically improve the safety and quality of hospitals in the United States (www.leapfroggroup.org). The Senior Administrative Assistant is a critical member of the Leapfrog team, the anchor for the organization, coordinating office operations and supporting team members in projects that meet our goals. The position reports to the CEO and the Director of Operations.

Performance Expectations
Impress our constituents as Leapfrog’s first liaison to the public. Convey your professionalism and your dedication to the Leapfrog mission when you interact with Board, members, constituents, and the public as the first to answer phone calls and email inquiries, and by arranging logistics for in-person and electronically based meetings. Respond to online inquiries and bring new ideas and precision to updating our website and other ongoing communications.
Ably steward office operations and continually improve them. Coordinate—and reorganize if needed as you go--mail, office supplies, expense reports, filing, and other ongoing operations so things run smoothly.
Keep the team on task. Oversee the schedule and travel arrangements for the CEO. Assist other managers with specific travel and meeting planning projects as needed.
Master internal policies, procedures, and documents and educate the team about them. Ensure supporting documentation for human resources, invoice approvals, timesheets, vendor relationships, and other policies. Educate employees about procedures and recommend revisions and changes as appropriate. Maintain databases and electronic and paper files.
Bring creativity and attention to detail as a team member planning meetings and events. Assist the team developing meetings that are productive and engaging to participants. Record minutes and major actions as assigned.
Experience
§ High school diploma with at least 8 years of experience or an associates or bachelor’s degree with at least 5 years experience.
§ Experience may have been acquired in salaried or volunteer settings where you demonstrated your ability to excel and meet the challenges of this position.
§ Fluency with standard Microsoft Office programs.
